Board Meetings

The SMVE HOA Board of Directors meets monthly. The meeting occurs on the 3rd Monday of the month at the Clubhouse at the North Pool Recreation Area at 3:30 PM. Two scheduled exceptions exist as follows: 1) (summer): June, July, and August and 2) the Annual HOA Meeting in February. The latter convenes at another time (7:00 PM) in accordance with annual meeting governing documents. A special annual meeting packet is mailed 1st class to all Homeowners for the Annual Meeting around mid-January with an agenda, resumes for Board candidates, and information for voting as well a end-of-year cumulative financials for review. The board holds an organizational meeting to elect officers two days after the annual meeting. An agenda for each meeting is posted usually several days but at least 48 hours in advance on the North Pool bulletin board and on this website. The SMVE HOA remains one of only a few and one of the largest self-managed, year-round HOA non-profit organizations in the Tucson foothills. It is led and managed by dedicated, talented volunteers who are your neighbors. Because of summer holiday family gatherings, out-of-town vacations, and younger guests often visiting grandparents in June, July and August, getting the required quorum from volunteer Directors for our Tucson Board meetings becomes problematic. Therefore, during summer months all HOA business is performed by in-town Board Directors with necessary documents for ongoing feedback are exchanged by e-mail. Out-of-town Directors are informed and connected electronically with on-going Board business. Therefore, no formal regular meetings of the Board of Directors occur in June, July, or August.

When a special meeting becomes necessary, notice is posted 48 hours in advance at the North Pool bulletin board and on the website. All of the above meeting arrangements are dictated by SMVE HOA governing documents consistent with Arizona law open meeting rules for planned communities (A.R.S. 33-1804).

Usually only Homeowners within the Sunrise Mountain View Estates or their designated representative attend the monthly Board of Directors Meeting. Occasionally, prospective homeowners may be given permission to attend a specific meeting with requests made to the President of the SMVE HOA Board of Directors by email or phone in advance of the meeting. Meetings are conducted employing informal rules based on Robert’s Rules of Order to maximize dialogue, efficiency, and time constraints that the Board is under.
